Talent Acquisition Operations Specialist
Position Summary:
The Talent Acquisition Operations Specialist plays a vital support role within the recruitment process by handling back-office coordination tasks for U.S.-based hiring. This includes scheduling interviews, managing background checks, preparing offer letters, and maintaining accurate records in the ATS. This position is essential to ensuring a smooth and organized experience for both candidates and hiring managers.
Key Responsibilities:
• Schedule interviews between candidates and hiring managers, across multiple time zones.
• Coordinate communication between recruiters, candidates, and internal stakeholders.
• Initiate and track background checks, drug screens, and reference verifications.
• Draft and send offer letters based on recruiter and hiring manager input.
• Ensure all candidate data and documentation is accurately maintained in the ATS.
• Track and follow up on pending steps to avoid delays in the hiring process.
• Support onboarding documentation and transition of new hires to HR or operations teams.
• Assist in maintaining recruitment process checklists, trackers, and reports.
• Troubleshoot scheduling conflicts or system issues with urgency and professionalism.
Requirements
- 2+ years of experience in recruitment coordination, HR administration, or back-office support roles.
- Experience supporting U.S.-based recruitment processes is preferred.
- Strong attention to detail and ability to manage multiple priorities simultaneously.
- Advanced English communication skills (written and verbal).
- Familiarity with ATS systems
- Highly organized, responsive, and comfortable working across time zones.
- Proficient in Google Workspace or Microsoft Office Suite.
