Senior Executive Assistant

About the role

As a Senior Executive Assistant, you will act as a trusted partner to senior leadership, ensuring seamless day-to-day operations and enabling executives to focus on strategic priorities. This role requires exceptional organizational skills, discretion, and the ability to operate effectively in a fast-paced, international environment.

Job Description

  • Manage and optimize the executive’s daily calendar, prioritizing meetings and commitments
  • Coordinate and schedule meetings, appointments, and conference calls, ensuring all logistics are in place
  • Organize complex international travel arrangements, including visas, accommodations, and detailed itineraries, with flexibility to adapt to last-minute changes
  • Support and coordinate cross-functional projects, ensuring timely follow-up and execution
  • Track and manage departmental expenses, including budgets and expense reports
  • Prepare meeting agendas, presentations, and supporting materials, and follow up on action items
  • Accompany the executive on business trips as required
  • Plan, organize, and support PR activities and corporate events
  • Handle sensitive information with the highest level of confidentiality and professionalism

Requirements

  • Bachelor's degree in Business Administration or related field preferred
  • Minimum of 6 years of experience as a Senior Executive Assistant or similar role
  • Fluency in English
  • Availability to travel
  • Background in a company with international presence
  • Proven ability to work in a fast-paced, high-pressure environment while managing multiple priorities
  • Ability to remain calm under pressure and manage unforeseen challenges effectively, such as last-minute schedule changes or urgent issues that require immediate attention
  • Exceptional organizational skills and strong attention to detail with a focus on accuracy and thoroughness in all tasks
  • Excellent communication and interpersonal skills, with the ability to collaborate across all levels
  • Ability to maintain confidentiality and handle sensitive information
  • High ethical standards, fitting with the Values of Antenna Group
