Position Summary

We are seeking a highly detail-oriented and self-directed Operations & Data Analyst to support the operational backbone of a healthcare clinic. This behind-the-scenes role focuses on improving systems, refining workflows, and transforming data into actionable insights that drive efficiency and better patient experiences.

The ideal candidate thrives in structured environments, enjoys solving operational problems, and takes ownership of processes without requiring constant supervision. This role plays a critical part in ensuring systems run smoothly so clinical teams can focus on delivering high-quality patient care.

Key Responsibilities

Systems & Process Optimization

  • Implement, document, and refine clinic workflows and operational systems
  • Identify inefficiencies, bottlenecks, and error patterns, and recommend process improvements
  • Support initiatives that enhance patient experience, accuracy, and service delivery
  • Maintain operational documentation and workflow standards

Data Collection, Analysis & Reporting

  • Collect, organize, and analyze data from electronic health records (EHR) and internal systems
  • Build and maintain business analysis spreadsheets to track KPIs and operational performance
  • Prepare accurate, timely, and actionable reports for leadership and operations teams
  • Monitor data integrity and ensure consistent reporting standards

Communication & Project Coordination

  • Make outbound calls and send emails to advance operational initiatives and follow up on action items
  • Coordinate with internal stakeholders to move projects forward efficiently
  • Track open items and ensure completion within established timelines

Financial & Inventory Support

  • Order supplies, monitor inventory levels, and coordinate replenishment
  • Review and verify invoices for accuracy and completeness
  • Assist with pricing updates, fee schedule reviews, and basic profitability analysis

General Operational Support

  • Proactively manage operational task lists and ensure nothing falls through the cracks
  • Support a wide range of operational projects and administrative initiatives
  • Bring a continuous improvement mindset to daily operations

  • Processes run smoothly – workflows are clear, efficient, and continuously improving
  • Data is reliable – reports are accurate, organized, and available when needed
  • Execution is consistent – follow-ups happen, tasks are completed, and details are handled
  • Clinical teams stay focused – operational friction is minimized and systems support patient care

Qualifications

Required

  • Strong attention to detail with high accuracy in data entry and reporting
  • Self-directed and highly reliable with excellent follow-through
  • Comfortable working with spreadsheets, systems, and performance data
  • Strong written and verbal communication skills
  • Process-minded with a natural ability to identify and implement improvements

Preferred

  • Experience in healthcare operations or working with EHR systems
  • Background in operations support, business analysis, or administrative operations
  • Familiarity with inventory management, invoicing, or financial tracking
