- Provide operational and administrative support for the movement, and delivery of heavy machinery.
- Liaise with government agencies including DOSH, PUSPAKOM, JPJ, and others to schedule inspections and ensure compliance.
- Preparing handover checklists, warranty documents, and user manuals
- Recording the delivery date to determine the official warranty start date
- Ensuring all documentation is filed and updated in the internal system
- Key in and manage accurate data records in the internal system (inventory, delivery, service schedules, etc.)
- Process documents in accounting system such as invoices, quotations, and petty cash claims; track and file inspection reports.
- Manage correspondence, including handling phone calls, emails, and written communication in a timely and professional manner.
- Act as a liaison between departments to ensure smooth communication, better workflow, and task coordination.
- Work closely with internal teams to ensure timely completion of tasks and effective communication.
- Arrange courier services for document dispatches, spare parts, and handover materials as needed.
- Monitor and report delivery/inspection progress to the operations team and management.
- Perform any ad hoc tasks assigned by superior to support day-to-day operational needs.
- Troubleshoot and ensure day-to-day tasks are executed smoothly and promptly.
Requirements
- Nationality: Malaysian
- Working Hours: Able to work on alternate Saturdays to ensure smooth business operations (1st & 3rd Saturday every month)
- Language Proficiency: Fluent in Mandarin (spoken and/or written)
- Experience: Minimum 1 year of experience liaising with government agencies such as DOSH, PUSPAKOM, and JPJ
- Skills:
- Ability to multitask effectively
- Strong communication skills, including handling phone calls, emails, and written correspondence in a timely manner
- Professionalism: Must demonstrate a good professional attitude and manner
