Efficiently manage employee relations activities and oversee the implementation of internal HR policies.
Provide recommendations to the HR Manager regarding all workplace violations.
Requirements
Employee Relations
Resignations:
- Receive resignation requests, verify approvals, and gather related data.
- Conduct and document exit interviews, analyze causes, and report findings.
- Notify Compensation Officer of confirmed resignations.
- Complete offboarding procedures: clearance forms, admin orders, notice period, settlement.
- Update employee status lists and provide final documentation (e.g., experience letters).
Leaves:
- Manage all types of leave requests, ensuring approvals and required documents are in place.
- Ensure proper handover procedures for long leaves.
Attendance:
- Monitor employee attendance and coordinate with Compensation Officer and supervisors.
- Handle lateness reports and issue appropriate disciplinary actions.
Investigations:
- Review official investigation requests via email.
- Assess each case and determine whether to proceed.
- Form and manage investigation committees.
- Document findings and recommendations.
- Cooperate with Legal Department for any legal follow-ups.
Communication:
- Build effective communication channels with staff across all levels.
- Act as a trusted point of contact for staff issues.
- Promote HR’s role as a support center for employees.
Employee Files and Data:
- Receive new hire files from the Compensation Officer.
- Ensure all required documents are present.
- Regularly update employee files (leaves, training, admin orders).
- Maintain confidentiality and sync digital and physical records.
New Joiners:
- Ensure availability of all new joiner needs (equipment, uniform, desk, SIM, etc.).
- Coordinate onboarding and training programs.
- Manage asset handovers and bank account openings.
Employee Welfare:
- Monitor employee events (birthdays, holidays, social events) and respond accordingly.
- Plan and execute staff events (e.g., Ramadan Iftar, trips).
- Organize employee recognition activities (e.g., appreciation letters).
- Handle employee complaints and ensure policy-aligned responses.
- Build strong relationships with employees to foster trust and communication.
- Propose motivational ideas to the HR Manager.
Archiving:
- Develop and implement an efficient document archiving system.
- Digitize and organize legacy files for easy access.
Requirements:
- Minimum 2 years in Human Resources.
- Bachelor's degree in Business Administration or a relevant field.
- Intermediate English (written, spoken, reading).
- Proficient in Microsoft Office, especially Excel (Dashboards, Analysis, Reports).
- Proficient in MS Outlook and Windows OS.
- Strong verbal and written communication.
- Excellent data gathering and analysis skills.
- Ability to read body language and interpret reactions.
- High multitasking ability under pressure.
- Good understanding of Iraqi Labor Law.
