A&M Architects is seeking a detail-oriented and proactive Bids and Contract Administrator to join our team. The successful candidate will be responsible for managing the bidding process, preparing proposals, drafting contracts, and ensuring compliance with contractual obligations for various architectural projects.

Key Responsibilities

  • Coordinate and manage the preparation of bids, including liaising with internal teams to gather necessary information and documentation.
  • Monitor bid submissions and follow up with prospective clients to ensure deadlines are met.
  • Draft, review, and negotiate contract terms and conditions with stakeholders to align with company policies and objectives.
  • Review and analyze contractual documents and requirements to ensure a thorough understanding of project specifications and terms.
  • Assess contractual risks and propose mitigative strategies.
  • Maintain accurate records of contracts and proposals, ensuring that all documentation is complete and up-to-date.
  • Support the project teams by providing contract administration and compliance advice throughout the project lifecycle.

Requirements

  • Bachelor’s degree in architecture or a related field. A master’s degree will be considered an asset.
  • 2-3 years of experience in a similar position
  • Excellent use of MS Office (Excel, Word, PowerPoint) and proficiency in the English language.
  • Proven experience in bid management and contract administration in the architecture or construction sector.
  • Excellent negotiation and communication skills.
  • Attention to detail and ability to manage multiple projects simultaneously.
  • Proficient in MS Office Suite.
  • Strong analytical and problem-solving abilities.
  • A good understanding of the market and commercial transactions, and organizational skills.
