Scope of role:

We’re looking for a highly driven Customer Assistant Manager who can operate with confidence, accuracy, and initiative. This role is not a traditional virtual assistant position—you will be directly involved in customer-facing operations, internal systems management, and cross-team collaboration. You’ll be expected to take ownership, communicate effectively, and adapt quickly as workflows evolve.

Responsibilities:

  • Assist in overseeing customer support operations and ensure all inquiries are handled efficiently.
  • Manage and respond to customer communications through Intercom (training provided).
  • Support and maintain updates in Pylon (training provided).
  • Join and lead client calls when needed to provide support, gather information, or address concerns.
  • Communicate clearly and professionally across chat, email, and video calls.
  • Ensure customer data, support tickets, and operational tasks are processed accurately across multiple platforms.
  • Collaborate with internal teams to resolve customer issues and escalate complex cases when necessary.
  • Identify process gaps and recommend improvements to enhance overall customer experience.
  • Handle administrative, operational, and project-related tasks beyond a typical VA role.
  • Adapt quickly to new tools, workflows, and evolving responsibilities.

Requirements:

  • Excellent verbal and written communication skills; confident speaking with clients on calls.
  • Fast learner with strong problem-solving abilities.
  • Tech-savvy and comfortable learning new software.
  • Highly organized with strong attention to detail.
  • Able to work independently and collaboratively.
  • Customer-focused, proactive, and resourceful.
